1. Who this notice covers

Synapse Global Institute Limited (SGI) provides education, digital learning, e-library and related student services. This notice applies to website visitors, applicants, learners, parents or guardians where relevant, instructors and people contacting SGI. The institutional Data Protection Policy sets out the corresponding handling rules. Using a website is not blanket consent to marketing or other optional processing.

2. Information collected

Depending on the service, records may include your name and contact details; account and authentication information; programme applications and qualifications; enrolment and fee records; payment references; attendance and learning progress; assessment answers and uploaded scripts; messages and support requests; and browser, device, IP and session information used to run or secure the platform. Optional support may involve sensitive welfare or accessibility information. Only provide information necessary for the requested service and avoid posting confidential details in public discussions.

3. Sources and purposes

Information is normally supplied by you or generated through your use of SGI services. It may also come from an authorised guardian, sponsor, examination body or payment provider where appropriate. SGI uses relevant information to assess applications, administer enrolment and payments, provide classes and learning materials, assess work, support students, communicate service changes, protect accounts, maintain academic records and meet legal obligations. If information is obtained indirectly, the source and purpose should be explained where required.

4. Legal basis and choices

Processing may be necessary to take requested pre-enrolment steps, perform an education contract, satisfy a legal duty or pursue a legitimate institutional interest that has been assessed against your rights. Where consent is required, it must be sought separately and can be withdrawn. Optional publicity, marketing or sensitive-data uses must not be bundled into general acceptance of website terms. Not supplying information essential to admission or service delivery may prevent SGI from providing that service; optional choices should not affect unrelated services.

5. Cookies, sessions and communications

The platform uses session and security mechanisms to maintain login and service functionality. Blocking essential cookies may prevent sign-in or transactions. Any non-essential analytics or advertising technologies must be assessed and accompanied by the notices and choices required by law. Service notices concern your enrolment or account; promotional messages should provide a practical opt-out. Request marketing removal through info@sgi.ac or an available unsubscribe link. Opting out of marketing does not stop necessary academic or transactional notices.

6. Online classes, assessments and support

Names, participation and shared contributions may be visible to other participants in a class or discussion. Do not share another person’s records or make unauthorised recordings. SGI should notify participants before recording a meeting and explain its use and retention. Assessment material is processed for marking and academic administration, with appropriate human review of AI-assisted outputs. Counselling and sensitive support records require restricted handling; ordinary administration rights should not be treated as permission to read private conversations. Confidentiality may be limited where disclosure is legally required or necessary under an applicable safeguarding duty.

7. Recipients and overseas processing

Necessary information may be accessible to authorised staff and instructors and to providers supporting hosting, communications, payment processing or educational delivery. Examination bodies, regulators and other recipients may receive information where there is a lawful reason. SGI must check the scope and safeguards of disclosures and overseas transfers. This notice does not promise that every service provider is located in Kenya. Ask admin@sgi.ac for information about recipients or transfer safeguards relevant to your service.

8. Retention and protection

Retention depends on the record’s purpose, educational and regulatory requirements, accounting obligations and legitimate dispute needs. Records must be reviewed and securely removed or anonymised when no longer justified. A deletion request may be limited by a lawful obligation to preserve particular records; SGI should explain that limitation. Access controls and other proportionate safeguards reduce risk, but no online service can guarantee complete security. Report suspected compromise promptly and never share account passwords or verification codes.

9. Children and representatives

Where a learner is under 18, appropriate parental or guardian arrangements and the legal conditions for children’s data apply. Authority must be checked before information is disclosed to a representative. Parents and guardians should avoid sending unnecessary identity or health details through general messaging channels.

10. Your rights and complaints

Contact admin@sgi.ac with “Privacy request” in the subject to ask about your information, obtain access, correct inaccurate records, object to qualifying uses, seek restriction or deletion, withdraw consent or exercise other applicable rights. Identity checks must be proportionate. SGI should respond within the legally applicable period and explain any restriction. You can complain directly to the ODPC at https://www.odpc.go.ke/file-a-complaint/ ; enquiries@odpc.go.ke ; 020 780 1800. These rights are subject to the conditions and exceptions in Kenyan law.
